University of Greenwich Open day - Saturday July 1st

Hey all,

Ive seen the recent posts about people looking for a venue to host an AWS and the problems people are having in finding somewhere suitable. Thus ive put the problem to my University, which is currently doing alot of robot programs itself through Robot Wars (with Trolley Rage) aswell as school projects where they are working with local schools to build over 20 featherweights from kits ive designed.

The head of the University thinks hosting an Antweight competition during an open day would be a fantastic idea, and allow us to make a centrepiece for a potential display to all the robotics projects going on at the University. Naturally this is something that may work for both parties, as Greenwich wants to make a big push to get more students into robotics - whilst roboteers need somewhere to place down an arena.

Thus before making any detailed plans with the University i thought to ask everyone here - would you want this. The Uni will be able to provide a hall with Wifi and plenty of space in order for an AWS to be run just like it used to be at Reading, but in a new home. We could have a live stream, and an audience - whilst still having a reserved pit space ect.

As ive only been involved a short time, i dont want to just go ahead without seeing what the support from the community would be like. Potentially if successful, this could become a regular thing which may solve all venue issues the AW scene currently has. So if people like this idea and are willing to get behind it, ill talk to the relevant people at the Uni and get it sorted - the only thing we need is an arena, and the roboteers. Remember ive made no promises to the Uni, ive decided to come to you guys first.

So do people think this is a good idea? - its the best i can do to help which benefits all parties involved. If so ill go and make the arrangements.

This sounds like a good opportunity to find replacement for Reading which was a good venue.
My only reservation would be the location, I am assuming in the centre of London, if I had to bring the arena but that is not a deal breaker.
Actually looking on their site they are talking of robotwars at their Medway campus which looks a whole lot easier to get to.
What do other people think.

Yes its at Medway, just to confirm the location itd be in Chatham ME4 4TB.

Whilst i havent confirmed details yet, itd likely go in the same place the Extreme Robots Heavyweight Arena gets set up in every september.

Theres a premier Inn within walking distance, aswell as a shopping center across the road with Pizza Hut ect aswell if that helps anyone.

Sounds like it could be good, I'm not familiar with the venue but we normally don't need much.

As long as organisation of the tournament itself stays with the roboteers I can see it working.

I havnt discussed details yet, but i imagine ill be the one co-ordinating it.

Thus the competition will be run exactly how any other event is run, if people wanted we could also make it into a AWS and have antlog ect.

The only thing i need to ask someone for is an arena, but bar that there should be plenty of tables ect.

Ill start talking to the management of the Uni for the event regarding this then, ill update here when i have more details - could i also confirm with someone if you want to make it an AWS?

Since everyones replies seems to be positive so far, ive emailed the organising body at the University with the details for whats needed.

Hopefully in a week or 2 ill be able to give confirmed details and we can go from there :)

Had a meeting today discussing the event, the University is very keen to have the event take place and is now organising the best way to fit it in around pre existing arrangements. They will provide the pit space needed, aswell as space for the arena and Wifi - thus its possible to do a live stream.

With regards to placement, it will be in Medway - however they need to get back to me on which room we will be in. Theres currently 2 likely places, both of which have advantages and disadvantages. They intend to make the competition a centerpiece and thus it will be in the programme of the open day for spectators to come along and watch. Thus we will need to keep 1 side of the arena open for people to come along and view - i hope thats ok for everyone.

The only potential difficulty is one of the 2 locations would involve having the pits in a seperate room through a door. The pits however would be private, and would have a projector in there which we can broadcast the live stream for everyone to watch whilst sitting down. It would be the same pit space the Heavyweights use when the University hosts the Roaming Robots live show, so should be big enough.

Once i have confirmed details, would everyone want to make this an AWS? - The University is willing to advertise for you in their programmes, however i would need a single contact for them to discuss with regarding any branding, requirements, safety ect.

So as regards to what id need to run the event. Pete or Andrew, i dont want to inconvenience anyone to much so who would be best placed to bring an arena? - i could potentially ask for the space to set up 2 arenas if thats something people may be interested in for testing ect.

Also is anyone any good at setting up live streams? - my cameras dont have a wide enough lense, but we could certainly set something up.

Otherwise is everyone ok with whats been said so far? - i realise the idea of spectators is abit different to usual, however if you want to go speak to people about antweights your more than welcome to.

I'm sure we can make this work :)

One thing to bear in mind for spectators is that Ants are very small! A big screen showing the action would be really useful otherwise only a very small number of people can actually see what's going on.

From a health & safety point of view we need to segregate spectators from roboteers and we need to enforce the "cover all sharp points/blades" rule, especially if robots are being carried between rooms. It's a bit of a faff and something we're all usually lax about but it's the one thing that's likely to get us thrown out by "the authorities". Let's not go there :)

Sorry to piggyback off of a thread to ask another question but it's related I swear! If my robot is ready by the 1st I'd like to come down and compete but I don't really know much beyond bring a robot, batteries and a transmitter. Is there some sort of registration? what should I bring spares of and how many? y'know what stuff should I know in advance for an antweight event
